Configuring Mail, iCal, and Address Book for Exchange

These instructions explain how to configure Mail, iCal, and Address Book for Exchange, whether for Exchange Calendar Only or Full Exchange.

Before You Begin

These instructions explain how to configure Mail, iCal, and Address Book on Mac OS X for Exchange. These three applications work together to provide you access to your Exchange email, calendar, and contacts, respectively.

  • Full Exchange: If you plan to use Exchange for both calendar and email, you will be able to do so after completing these instructions.
  • Calendar Only: If you plan to use Exchange for calendar only, you must also set up the server-side calendar-only rule in Outlook.

Configure Mail, iCal, and Address Book for Exchange

When you add your Exchange account to Mail in Mac OS X, it will also be added to iCal and Address Book. You will use these three applications together to access your Exchange email, calendar, and contacts.

To configure Mail, iCal, and Address Book for Exchange, do the following:

  1. Launch Mail.
    • The Welcome to Mail wizard might open automatically.
    • Otherwise, click File > Add Account....
  2. Type your name in the Full Name: field.
  3. Type your email address in the Email Address: field.
    • Your email address is yourULID@ilstu.edu.
  4. Type your password in the Password: field.
  5. Click Continue.
    • Mail will automatically obtain the settings it needs and will set up your Exchange account.
    • You will be presented with an Account Summary screen, which allows you to choose to also set up Address Book contacts and iCal calendars. We recommend you leave the check marks in these boxes.
  6. Click Create.

Mail, iCal, and Address Book are now configured for Exchange. It may take a few moments before you being seeing your Exchange email and calendar events.

Add Calendar Only Rule

If you plan to use the Exchange Calendar Only option, then you should apply the Calendar Only Rule to Outlook 2010 or Outlook 2007 on Windows (even though you plan to use Mail, iCal, and Address Book on Mac OS X). This rule cleans up your Inbox so it contains only meeting-related emails.

Do not apply this rule if you plan to use the Full Exchange option. If you have ever added the Calendar Only Rule in the past, you do not need to import it again, even if you set up Mail, iCal, and Address Book again at any point.
