Understanding trustees and email aliases

This article explains the purpose of a trustee for an email alias and how to request to be a trustee for your email alias.

Before You Begin

An email alias is an email address associated with one or more members. An email alias is not an email account; it does not have its own user name or password. Instead, email sent to an email alias address is delivered to the members of the alias.

Members, Owners, and Trustees

All email aliases have at least one owner and at least one member. Some email aliases also have trustees. If you are an owner of an email alias, you can add and remove members. If you are a trustee, you can add or remove owners.

Most email aliases do not have trustees. You should only need to be a trustee if you have multiple email aliases that you want others to manage. As a trustee, you can add and remove owners of an email alias without needing to contact the University Computer Help Desk and request changes to the owners on an alias. This is useful for managers and directors who have a large number of email aliases they oversee and who designate their employees to act as owners for those aliases.

Requesting to be a Trustee

To request to be made a trustee of your email alias, do one of the following:

  • Call the University Computer Help Desk at 309-438-4357
  • Send an email to helpdesk@ilstu.edu FROM your @ilstu.edu address

Be sure to include the following information:

  • Include your name and ULID
  • Indicate that you are a manager or director who oversees a large number of email aliases
  • Indicate that you want to be made a trustee over your email aliases

The Help Desk will create an Incident for your request and send it to CISS SYSTEMS. The system administrators will make the necessary changes and will then notify you that you are the trustee for your email aliases. Your trustee privileges extend to all email aliases for which you were already an owner.

Changing Trustees

It is not possible to add or remove trustees through the Email Alias Management website. To change a trustee of your email alias, do one of the following:

  • Call the University Computer Help Desk at 309-438-4357.
  • Send an email to helpdesk@ilstu.edu FROM your @ilstu.edu address.

Be sure to include the following information:

  • Include the name and ULID of the current trustee
  • Include the name and ULID of the new trustee
  • Indicate that the new trustee should replace the current trustee for all email aliases that the current trustee manages

The Help Desk will create an Incident for your request and send it to CISS SYSTEMS. The system administrators will make the necessary changes and will then notify you that the change has been completed.
