Configuring Outlook 2010 and Outlook 2007 for Exchange

These instructions explain how to configure Outlook 2010 or Outlook 2007 for Exchange, whether for Exchange Calendar Only or Full Exchange.

Before You Begin

These instructions explain how to configure Outlook 2010 and Outlook 2007 for Exchange.

  • Full Exchange: If you plan to use Exchange for both calendar and email, you will be able to do so after completing these instructions.
  • Calendar Only: If you plan to use Exchange for calendar only, you must also set up the server-side calendar-only rule in Outlook.

Exchange Autodiscover

Outlook 2010 and Outlook 2007 use autodiscover to automatically obtain Exchange settings. When you set up a new Exchange account in Outlook, you should (at most) be asked to provide:

  • Your name
  • Your email address
  • Your password

These instructions apply to University workstations (i.e. computers bound to ADILSTU), as well as personally owned computers. These instructions apply to both on-campus and off-campus computers. (A VPN connection is not needed for off-campus computers.)

You can use these instructions to set up Exchange for a ULID account or a DLID account. DLID accounts are commonly issued to student workers who are required to use Exchange for their campus jobs.

Configure Outlook 2010 or Outlook 2007 for Exchange

First, you need to open the wizard that will walk you through adding a new account. Then, if you are prompted to enter some information about yourself, you would need to provide your name, email address, and password. Outlook will automatically obtain the appropriate settings for Exchange. If you plan to use the Exchange Calendar Only option, then you should import the Calendar Only rule as well.

Step 1 - Open Mail Icon and Add New Account

To begin setting up Outlook for Exchange, do the following:

  1. Click Start > Control Panel > Mail.
    • In Windows 7, if you do not see the Mail icon in the Control Panel, switch to the Large Icons view.
    • In Windows Vista or Windows XP, if you do not see the Mail icon in the Control Panel, switch to Classic View.
  2. After opening the Mail icon, do one of the following:
    • If you are setting up a ULID account for Exchange, click E-mail Accounts... > New...
    • If you are setting up a DLID account for Exchange, click Show Profiles... > Add...
  3. Proceed with Step 2 - Automatic Account Setup below.

If you do not have a Mail icon, try launching Outlook instead.

  • Open Outlook 2010 or Outlook 2007.
  • If this is the first time Outlook has been opened, you will be prompted to create a new account.
  • If you are given the choice, choose to set up a new Exchange email account.

Step 2 - Automatic Account Setup

Follow the on-screen instructions to set up your Exchange account in Outlook.

  • If you are prompted to enter account information, do the following:
    • Enter your full name, email address, and password.
    • If you are setting up a DLID account, your email address is yourDLID@exchange.ilstu.edu.
    • If you are setting up a ULID account, your email address is yourULID@ilstu.edu.
  • If you are prompted to log in, do the following:
    • If you are setting up a ULID account, enter adilstu\yourULID in the User name: box.
    • If you are setting up a DLID account, enter adilstu\yourDLID in the User name: box.
    • Enter your password in the Password: box.
  • If you are using the Exchange Calendar Only option, proceed to Step 3 - Add Calendar Only Rule below.

Outlook will use autodiscover to automatically obtain settings for Exchange. After Outlook has been configured, it will begin to synchronize your email, calendar, and contacts. It may take a few moments before you start seeing these items appear in Outlook.

Step 3 - Add Calendar Only Rule

If you plan to use the Exchange Calendar Only option, then you should apply the Calendar Only Rule to Outlook. This rule cleans up your Inbox so it contains only meeting-related emails.

Do not apply this rule if you plan to use the Full Exchange option. If you have ever added the Calendar Only Rule in the past, you do not need to import it again, even if you set up Outlook again at any point.
