Managing organization options in University Timeclock

Organization Options allow Organizational Administrators to fine-tune how their organization functions. Control payroll schedules, set email notification options, and more.

Before You Begin

You can customize several aspects of University Timeclock to suit your organization's needs. You have access to the following organization options:

  • Contact Information - Update the primary contact person for your organization. This is the person the University Timeclock system administrator should contact in the event of problems, system updates, etc.
  • Timeclock Module Options - Customize various parts of University Timeclock, such as clock out rules, daily and weekly thresholds, and time card due date reminders.

To make changes to your organization's options, you must either be an organizational administrator or have the "Manage Organization Options" privilege.

Managing Organization and Module Options

To make changes to your organization's options, do the following:

  1. Log in to University Timeclock by going to https://timeclock.illinoisstate.edu.
    • If you work for multiple organizations that use University Timeclock, you will be prompted to choose the organization you would like to log in to.
    • You can switch the organization you're logged in to at any time by clicking the down-arrow next to your organization's name in the upper-right corner of the screen.
  2. Click the Admin tab.
  3. Do one of the following:
    • Click Configure organization options. This allows you to update your contact information.
    • Click Configure module options. This allows you to change your Timeclock module options. Each of these options is described in detail below.
  4. Click Save.

Timeclock Module Options

University Timeclock allows you to customize the following options:

Clock-out Rule - This rule controls clocking out out.

  • Same computer - Staff members are only allowed to clock out from the computer they used to clock in.
  • Same location - Staff members are only allowed to clock out at the same location from which they clocked in.
  • Any location within the organization - Allows employees to clock out from any location. This is the default setting.
  • Any computer connected to ISU's network - Allows employees to clock out from any computer connected to Illinois State University's network. The computer must be on campus and not connected through VPN.
  • Any computer - Allows employees to clock-out from any computer, anywhere.

Records per page - The number of time clock records to display per page

Daily Hour Threshold - The maximum number of hours your staff members are allowed to work per day. When a staff member is clocked in for a number of hours that exceeds the threshold, an email notification is sent to the staff member and to all organizational administrators, as well as anyone with the "Record Management" privilege.

Weekly Hour Threshold - The maximum number of hours your staff members are allowed to work per week. When a staff member accrues a number of hours that exceeds the threshold, an email notification is sent to the staff member and to all organizational administrators, as well as anyone with the "Record Management" privilege.

Allow employees to add a note to a shift when clocking out - Put a check mark in this box to allow staff members to add notes to their own records before they clock out. 

  • This also reveals the option, Notify Organizational Administrators when an employee leaves a note on a shift, which will result in an email notification being sent to organizational administrators when a staff member adds a note.

Send reminders the day before Time Cards are due - Put a check mark in this box to receive email reminders the day before time cards must be turned into the Payroll Office. An email reminder will be sent to all organizational administrators and anyone with the "View Pay Period Report" privilege.
