Creating appointments in Outlook and OWA

Create appointments on your Exchange calendar in Outlook 2007, Outlook 2010, Outlook 2011, or OWA.

Before You Begin

An appointment is just like a meeting, except you do not invite attendees. You can add appointments to your Exchange calendar for scheduled work duties, events, or reminders.

Create New Appointment

 To create an appointment in Outlook 2007, Outlook 2010, Outlook 2011, or Outlook Web App (OWA), do the following:

  1. Do one of the following:
  2. Click Calendar on the side of the window.
  3. Do one of the following:
    • Outlook 2007: Within the calendar, click the New button.
    • Outlook 2007: Click File > New > Appointment.
    • Outlook 2010: Click New Appointment in the upper left corner.
    • Outlook 2011: Click Appointment on the Home toolbar.
    • OWA: Click New.
  4. In the Subject: box, type a short description of the event.
  5. In the Location: box, type the location. You may leave this box empty.
  6. Select start and end times.
  7. In the large, white box, you may add notes or details, or you may leave this box empty.
  8. Click Save & Close to add this appointment to your calendar.

Tips:

  • To make an event private, click the Private icon.
  • Invite attendees to convert your appointment into a meeting.
  • Click All day event to flag the entire day. For example, add "First Day of Classes" and make it an All day event.
  • Double-click on your calendar to create an appointment for that date and time.
