How long do I keep my ULID account after leaving the University?

When you leave Illinois State University, your ULID account will expire and you will eventually lose your account.

Students, faculty, and staff who leave the University retain their ULID accounts for a period of time called a grace period. After the grace period ends, you will lose your ULID account.

How long will I keep my ULID after leaving?

The length of time you may keep your ULID account is based on your affiliation as a student, faculty, or staff member. When you leave the University, you will receive an automated email indicating your account removal date.

  • U-High Students - 3 months
    U-High students keep their ULID accounts for three months after the end of each semester or after leaving U-High. Under normal circumstances a U-High student will keep his or her ULID account through the summer and will only lose access after graduating or leaving U-High.
     
  • Undergraduate Students - 6 months
    Undergraduate students keep their ULID accounts for six months after leaving the University. A student is considered to have left the University if he or she graduates or is no longer registered for classes.
     
  • Graduate Students - 12 months
    Graduate students keep their ULID accounts for twelve months after leaving the University. A grad student is considered to have left the University if he or she graduates from a Masters program or is no longer registered for classes.
     
  • Faculty/Staff - 12 months
    Faculty members, civil service employees, and administrative/professional (AP) employees retain their ULID accounts for twelve months after leaving the University. Faculty and staff who retire from the University do not lose their ULID accounts, as indicated below.

I don't want to lose my ULID account. How can I keep it?

To prevent the loss of your ULID account, you must maintain an affiliation with the University. You will retain your ULID account so long as you are an active student who is registered for classes, employed by the University as a faculty or staff member, or are retired from the University with benefits.

  • Register for classes - Keep your ULID account by registering for classes. If you register for classes at any time during the six-month or twelve-month grace period described above, you will not lose your ULID account.
     
  • Renew your contract - Keep your ULID account by renewing your employment contract with the University. If you are a faculty or staff member and you renew your contracts within the twelve-month grace period described above, you will not lose your ULID account.
     
  • Retirement - If you retire with benefits from the University, you will keep your ULID account. You may receive an automated email from the University indicating that you will lose your ULID account on a specified date. So long as your retirement status is properly updated on your university employment record, you may ignore any such email notification. To verify your retirement status, contact Human Resources.

Can I request an extension for my ULID account?

If you need to keep your ULID account longer than the grace period described above, you may request an account extension. For more information, refer to 1069: How to request a ULID account extension.

What happens when I lose my ULID account?

When you lose your ULID account, you lose access to all electronic systems and services at Illinois State University that require a valid ULID.

You will lose access to the following services:

  • Your ilstu.edu email account
  • Access to iCampus
  • Access to ULID Account Management
  • Access to ADILSTU (Active Directory)
  • Access to Datastore
  • Access to Exchange
  • Any service that requires a valid ULID and password

All email and files associated with your ULID account are purged from the system and cannot be retrieved. Information about your academic record, tuition payments, employment history, payroll history, etc. is not lost -- that data is stored on the mainframe and is not associated with your ULID account.

When will I lose my Exchange account?

Faculty and staff who have access to Exchange, whether it be Calendar Only or Full Exchange, may lose access as soon as employment ends. This loss of Exchange access might occur before you lose access to other aspects of your ULID account. 

Each department that provides Exchange access might follow its own procedure for revoking access to Exchange. Some departments might notify faculty and staff before removing access, whereas others may notify users after-the-fact or not at all. In some cases, the department may provide assistance in migrating mail from Exchange to IMAP or provide another backup of some kind, but this is not guaranteed.

Are there any exceptions to the information above?

The ULID account removal process and grace periods described above apply to students, faculty, and staff under normal circumstances. However, account removal can occur more quickly under special circumstances or at the request of an employee's manager. 

I have returned to the University. Do I get my old ULID account back?

If you return to the University after losing your ULID account, you may activate a new ULID account. Refer to 1021: How do I activate my ULID account?.

You may or may not receive the same ULID, depending on how long you have been away from the University. Even if you obtain the same ULID that you had before, all of your old email and files were deleted when you first lost your ULID account.
